This Cookie Policy explains how The Secretary (Pty) Ltd uses cookies and similar technologies on our online platform, and the limited purposes for which we use them. It forms part of the information we are required to make available about our service and should be read together with our Privacy Notice, which describes how we handle your personal information more generally, and our Terms and Conditions.

We keep our use of these technologies deliberately minimal. We use only cookies that are strictly necessary to sign you in and to operate and secure the service. We do not currently use any advertising or marketing cookies, and we do not use third-party analytics or tracking cookies.

1.What cookies and similar technologies are

Cookies are small text files that a website places on your device (computer, tablet or mobile phone) when you visit it. They allow the website to recognise your device and to store certain information between pages or between visits. "Similar technologies" include other small-scale storage mechanisms a browser provides, such as local or session storage, which can be used for comparable purposes.

In this policy, references to "cookies" include cookies and any similar device-storage technologies used by our platform for the same operational purposes, and "the platform" means the website and online services operated by The Secretary (Pty) Ltd.

They may also be "first-party" cookies, set by The Secretary, or "third-party" cookies, set by another organisation. We use first-party, strictly-necessary cookies only.

2.The cookies we use

We use only strictly-necessary cookies. These are essential to provide the service you have asked for - in particular, to let you sign in and to keep the platform secure and operating correctly. We sign you in using a passwordless magic link, and the authentication cookie is what keeps you signed in afterwards. The categories below describe what these cookies do.

Authentication / session cookie
Set by our authentication provider, Supabase, when you sign in using a magic link. It keeps you securely signed in as you move between pages, so that you do not have to re-authenticate on every request, and it ends your session when you sign out or the session expires. Without this cookie you cannot sign in or use any feature that requires an account.
Security and operation
Basic cookies used to operate the platform securely and reliably - for example, to help maintain the integrity of a session, support core navigation and functions, and protect against misuse. These are necessary for the platform to work as intended.

All of the cookies we use fall within the categories described above. We do not use cookies to build advertising profiles, to track you across other websites, or to measure your behaviour for marketing purposes.

3.No advertising or third-party analytics cookies

We do not track you for advertising or analytics

The Secretary does not currently use any advertising or marketing cookies, and does not use third-party analytics or tracking cookies. We do not sell or share your browsing activity with advertising networks, and we do not place cookies that follow you across other websites.

3.1

Because we use only strictly-necessary cookies, the platform does not present a cookie-consent banner asking you to accept or reject optional cookies - there are no optional cookies to consent to.

4.Why we may use these cookies without asking for your consent

The cookies described in this policy are strictly necessary to deliver a service you have actively requested - namely, to sign in to and use your account on the platform. They are not used for advertising, profiling or measurement.

Because these cookies are essential to provide, operate and secure the service you have requested, we rely on them being necessary for that purpose rather than on your separate consent. Any related processing of personal information is carried out lawfully and fairly in accordance with the Data Protection Act, 2018, and as described in our Privacy Notice. The information duties of an online service provider under the Electronic Communications and Transactions Act, 2014 are also reflected in this policy.

This treatment applies only to strictly-necessary cookies. If we later introduce any cookie that is not strictly necessary, we will provide the required information and seek your consent before such a cookie is set, where the law requires it, as set out below.

5.What happens if you block these cookies

You can block or delete cookies using your browser, but doing so will affect how the platform works for you.

Blocking essential cookies will prevent sign-in

Because our cookies are strictly necessary, if you block or delete them you will not be able to sign in, and features that depend on an account will not function. Disabling essential cookies will, in effect, prevent you from using the secured parts of the service.

5.1

You remain free to control cookies through your browser; however, we are not able to provide the authenticated parts of the platform if the strictly-necessary cookies are blocked. This does not affect any statutory rights you may have, including your non-excludable rights as a consumer under the Consumer Protection Act, 2018.

6.How to control or clear cookies in your browser

Most browsers let you view, manage, block and delete cookies through their settings. The exact steps differ between browsers and devices, but you can usually find these controls in the browser's "Settings", "Privacy" or "Security" menus.

  • View which cookies are stored and delete some or all of them.
  • Block cookies from being set, either entirely or for particular sites.
  • Clear cookies automatically when you close the browser.
  • Use a "private" or "incognito" browsing mode, which typically clears cookies when the window is closed.

7.Changes to this policy and future cookies

7.1

We may update this Cookie Policy from time to time to reflect changes to the platform or to how we use cookies. The version published on the platform is the version that applies, and your continued use of the platform after a change takes effect indicates that you have noted the updated policy.

If we introduce any analytics, marketing or other non-essential cookies in future, we will update this policy to describe them and, where consent is required, we will ask for your consent - for example through a cookie banner - before such cookies are set.
